Home Backpackers Group Booking Terms and Conditions

 

Please note that all bookings made are subject to terms and conditions and the person placing the booking warrants that he/she has the full authority to do so on behalf of all the persons they are making a booking for, and confirms that all such persons are aware of and accept these conditions. See the Terms & Conditions listed below.

 

Group Bookings Terms & Conditions

 

General

 

  • Home Backpackers defines a group booking as 6+ people
  • All group bookings must be made by request directly at the hostel – in person, via phone or email
  • Rooms/Dorms are available at 2:00pm on the day of arrival; however you are welcome to drop off any luggage in the morning.
  • Check out time is by 10:00 AM on the day of departure.
  • All bookings are subject to availability and we reserve the right to decline any booking at our discretion.
  • All groups will be asked for a refundable holding deposit of £250/£350 per group against damages or loss. Deposit is payable by cash or pre-authorized by credit card upon arrival.
  • There is one designated group leader who must take full responsibility for the group at all times whilst staying at Home Backpackers hostels.
  • For youth or student groups (under 20 years old) a group leader must be present and supervising the students in the Hostel at all times.
  • We do not offer coach parking, please ensure that drivers are fully aware of this and have organised proper coach parking prior to arrival.
  • Please keep in mind we cannot always accommodate groups all on the same floor because of the layout of the buildings and the room type chosen but we will always try and do our best to accommodate groups close together.
  • Due to our Bar license, guests are prohibited to bring and consume alcohol purchased from outside the premises. We reserve the right to fine each guest £50.00.
  • Smoking is not permitted by law. Any guest found smoking within the building will be fined £50.00
  • Drug use is illegal in England. Any guest found using drugs within the building will be fined £250.00 and asked to leave the premises immediately. No refund will be offered.
  • We can not accept deliveries of packed lunches, dinners, tickets or anything of that variety ordered by an external company at any of our premises.
  • Please ensure guests have adequate travel insurance. We do NOT take responsibility for any lost or stolen property. Please inform your groups.
  • If you have an issue with accommodation, please let our staff know during your stay in order for us to rectify the problem. Any complaints received afterward does not allow us to solve it and improve the quality of your stay.
  • Please be aware that most dorms contain three tier bunk beds.

 

 

 

How to pre-book

 

  • To check availability, you will need to contact our group department by email groups@homebackpackers.co.uk or phone +44 (0) 207 833 3893
  • You will be sent a detailed quote and an option date will be given to you.
  • Please be informed that no beds are blocked prior to payment.
  • Once your offer is confirmed you will be asked for further payment, please check “payment” section below.

 

Payment

 

Small bookings below the value of £600.00 must be paid in full at the time of booking and are fully non refundable.

 

In order to secure your booking you must pay us the appropriate deposit, as set out below:

 

  • A minimum deposit of 25% (non-refundable and non-transferable) of the total booking amount is required. The balance must be paid 6 weeks before your arrival date;
  • The payment options are as follows:

 

  1. By bank transfer, please quote our pro-forma invoice number as reference (please note if you make an international money transfer you must pay any additional bank charges for transactions)
  2. Alternatively, card payments can be taken over the telephone by calling us on +44 (0) 207 833 3893 (London) and +44 (0)12 7369 5866 (Brighton 8am to 4:30pm) (please note you will be charged 3% on top of outstanding amount for credit or debit card fees)

 

  • Please note that Home Backpackers hostels have to receive exact outstanding balance as requested on pro-forma invoice.
  • All the payments have to be made in GBP
  • All international transfers will need to accept payment charges with your bank.
  • If any payment under these terms and conditions is overdue, then without prejudice to our other rights and remedies we may cancel your booking; and/or we may suspend the supply and/or deliveries of any other services being provided to you by us. We will however inform you by email prior to any such action.

 

If you change your Group Booking

 

Subject to availability, you may change a group booking to a date up to 6 weeks before your arrival date.

 

  1. Changes requested within 6 weeks of the date of the first night of your stay will be treated as cancellations (see “Cancellations” below).
  2. If you wish to change a confirmed reservation (e.g. changes in dates of visit or changes in numbers of people booked) such changes are subject to the availability of a suitable alternative and are subject to any additional costs incurred in making changes to accommodate your request.
  3. We will inform you of the amount of any additional cost when you request your changes and shall agree such costs with you.
  4. Any additional decreases in Group numbers will be subject to our standard cancellation charges.
  5. All changes shall be subject to the availability of a suitable alternative.

 

Cancellations

 

All cancellations are subject to a cancellation charge.

 

  1. There is a 25% non-refundable and non-transferable deposit payable at time of booking
  2. To cancel a booking, you should notify us in Writing. “Writing,” means by email.
  3. Cancellation charges where less than 42 days’ notice is given are set on the sliding scale below.
  4. All cancellation charges are calculated from the day written notification is received by us. These charges are based on how many days before the date of the first night of your stay we receive your cancellation notice. These charges are based on the total cost of your stay *.

 

  1. 41- 29days – 50% of the total cost of your stay

 

  1. 28-14 days – 75% of the total cost of your stay

 

iii. 13 days or less – The total cost of your stay

 

* Total cost of your stay means outstanding balance after non-refundable and non-transferable deposit of 25%

 

  1. If checking out earlier than the stay booked, you will not be entitled to any refunds.

 

Additional Services

 

  • Additional Services (meal deals, transfers, attractions etc.) will be offered by us to you (on request)
  • The order for the additional services must be made 4 weeks (latest) before arrival.
  • Payment must to be received 2 weeks prior to arrival.
  • Cancellations or changes made 14 days prior to arrival will incur 100% charges.
  • Home Backpackers will provide the invoice for the payment

 

Delay or Failure to Perform

 

We shall not be liable to you if we are prevented or delayed in the performing of any of our obligations to you if this is due to any cause beyond our reasonable control including (without limitation): an act of God, explosion, flood, fire or accident; war or civil disturbance; strike, industrial action or stoppages of work; any form of government intervention; a third party act or omission; failure by you to give us a correct delivery address or notify us of any change of address.

 

 

Your Private Information

 

We shall only store and use the information you supply to us or which is supplied to us for the purposes of carrying out our contact with you and to inform you of other services and offers which we make available from time to time.
